This policy explains what personal information the Palestine AI Week website collects, why we collect it, who it is shared with, how long it is kept and what you can ask us to do with it.

Who we are

Palestine AI Week is organised by Palestine TechnoPark, Birzeit, Palestine, which is responsible for the personal information collected through this website. Write to us about anything in this policy at [email protected].

What we collect and why

When you register

When registration is open, the form asks for your first and last name, email address, a password, your mobile or WhatsApp number, a photo for your badge, your organisation, job title, country and city, your participant category and how you will attend. You can also tell us which sessions interest you, your field of study or industry, your level of AI knowledge, the areas that interest you, what you hope to gain and, if you are a speaker, a short biography.

We use this to create your attendee account, to review and confirm your registration, to prepare your badge, to plan the programme and the venue, and to contact you about AI Week. Before the form is sent, we email you a four-digit code to check that the address is yours.

Your password is stored only in hashed form, so nobody at Palestine TechnoPark can read it.

When your registration is confirmed

Our team reviews each registration. When we confirm yours, we create a personal attendance code and email you a QR code and a badge (PDF) showing your photo, name and organisation. At the venue our staff scan the QR code, and we record the days you attended and who checked you in.

Your attendee account

You can sign in to see and update your profile and change your password. In sessions that take questions through the site, you can send a question to the speakers. The question is stored with your account, and your name and organisation are shown with it; it can be seen by the speakers and moderators and by other signed-in attendees.

Speakers

If you speak at AI Week, we publish your name, job title, organisation and photo on this website, and on some pages your biography.

Invited guests

Our team keeps a list of guests it invites to AI Week events, with each guest's name, title, organisation, position, email address and phone number. We enter it ourselves, and when you answer an invitation we record your answer.

Emails from us

We send the code that checks your address, a message when you register, a confirmation with your QR code and badge, password-reset links when you ask for one, invitations, and updates about AI Week and other Palestine TechnoPark events. Our emails contain no tracking pixels or tracked links; images in some of them, such as your QR code, are loaded from our server.

Every bulk email has an unsubscribe link. When you use it we record your email address, the time and your IP address on a single opt-out list shared by Palestine TechnoPark's websites, so that one request stops our bulk email from all of them.

When you write to us

If you email us, we keep your message and address so that we can answer you.

Every visit

Like any website, our server and Cloudflare, which delivers and protects this site, receive your IP address, browser details and the addresses of the pages you open. Cloudflare also counts page views and measures how quickly pages load, with a script that sets no cookies.

If you allow visit statistics when the site asks, it also records the pages you open: each page's address, the domain of the website that sent you here, your device type, country, the site's language and the time, with no IP address and nothing that names you. It records nothing of this until you agree, and you can change your answer with Cookie settings at the foot of every page. The Cookie Policy has the details.

Who we share it with

  • Palestine TechnoPark staff who run AI Week, through the site's administration area.
  • Palestine TechnoPark's central platform (portal.technopark.ps). It reads the name, email address, phone number, organisation, city and country of registrants and invited guests who have not been removed, so that our staff can email them about Palestine TechnoPark programmes and events, and so that the same person is recognised across those programmes.
  • Google, whose email service sends our emails. Google also serves the fonts this site uses, so your browser contacts Google, which receives your IP address.
  • Cloudflare, which delivers the site, protects it from attacks, counts page views and serves script libraries some pages use.
  • YouTube, when you play one of the videos on the site (see the Cookie Policy).
  • Our web hosting provider, whose servers hold the site and its database.

Speakers' details are published as described above. We do not sell personal information, and the site carries no advertising.

Google, Cloudflare and YouTube operate worldwide, so information they handle may be processed outside Palestine.

How long we keep it

Registration and attendance records, questions and the invited-guest list are kept after the event, so that we can answer questions about attendance and invite people to future events. They are not deleted automatically: they stay until you ask us to delete them or our team removes them. Backup copies of the database, which let us restore the site after a fault, can hold the same information for a time after that.

An unsubscribe record is kept for as long as we send bulk email, because it is what stops the emails. The session that keeps you signed in expires two hours after your last visit. Visit statistics are deleted automatically after 13 months.

Your choices and rights

  • See and correct most of your registration details yourself: sign in and open your profile.
  • Ask us for a copy of the information we hold about you, to correct it, or to delete your account, registration or guest record, by emailing [email protected] from the address we have for you.
  • Stop our bulk emails at any time with the unsubscribe link in any of them.
  • Object to a use of your information described here.

Children

AI Week is for professionals, entrepreneurs, researchers and students. If you believe a child has registered without a parent's or guardian's knowledge, tell us and we will remove the registration.

Security

The site supports encrypted HTTPS connections, passwords are stored hashed, and only signed-in staff can reach the administration area. No website is completely secure, so please use a password you do not use anywhere else.

Cookies

The site sets two cookies it needs to work and one that remembers your answer about visit statistics. If you allow the statistics, it sets one more that groups the pages of a visit. It sets no advertising cookies. The Cookie Policy lists them.
